Empty chairs: the appointments that never turned up

Picture the reception desk at ten past nine. One patient is checking in, the phone is ringing with someone wanting Thursday, the diary is open on the wrong week, and the 9:00 has not arrived and will not. The doctor is idle, the phone caller gives up, and the 9:30 walks in early and waits.

None of this needs a bigger front desk. It needs the diary to be somewhere patients can reach without a phone call, and reminders that go out without anyone remembering to send them.

Booking on WhatsApp

A patient messages the practice number and asks for Thursday afternoon. The assistant offers the slots that are actually free, books one, and confirms it in the chat. The receptionist sees it appear in the diary. The day before, the patient gets a reminder with a reply option to confirm or move it. Patients who cannot come say so, and the slot is released for someone else.

No-shows drop when reminders are reliable, and the receptionist’s morning is spent on the person in front of her.

The record that follows the patient

Every visit, prescription, lab request and result sits on the patient’s record, in one place, with access controlled by role: the doctor sees clinical notes, the front desk sees appointments and bills, the pharmacy sees the prescription. Hosting meets the data-protection obligations of a registered data controller.

Billing and medical aid

The bill is raised from the encounter, the patient pays by the method they prefer, and for medical aid patients the add-on prepares the claim in the format CIMAS, PSMAS or FMH expect. Fewer rejected claims means the money arrives sooner.

Pharmacy and lab

A prescription flows to the dispensary with stock control, so a dispensed item reduces stock and a low stock warning comes before you run out. Lab orders and results attach to the same patient.

Which package

One doctor with a receptionist is a Solo Practice ($40); a group of doctors sharing rooms is Multi-Practice; a clinic with a lab and pharmacy is Clinic; a hospital with departments is Hospital. Medical aid claims are a $30 add-on. Healthcare setup is done on site and includes bringing in the patient register.
