Does school management software improve academic results?

This is the most common question we get from schools, so it deserves a straight answer: no software teaches a child to read or pass a ZIMSEC paper. If a vendor tells you their system raises pass rates, ask them how.

What a school management system does is remove the work that keeps a school from doing its job, and some of that work sits closer to results than it looks.

Where the time goes today

Ask a head or a bursar where the week went and the answers are the same across schools: chasing fees, answering the same parent questions on the phone, producing report cards from marks in four different books, compiling the enrolment return, and finding out which pupils were absent last Tuesday. None of that is teaching, all of it lands on the people who are supposed to be running the teaching.

What changes with the system

  • Fees: invoices go out per pupil per term, reminders go to parents on WhatsApp by themselves, receipts are instant. Arrears drop within a term in most schools, which means the school can pay teachers on time and buy what the classroom needs. That is the most direct line from software to results there is.
  • Parent communication: a notice, a report card alert or an exam timetable reaches every parent on WhatsApp in minutes, instead of a circular that never leaves the school bag. Parents who know what is happening turn up, follow up on homework and pay.
  • Attendance and assessment: marks and attendance entered once, report cards generated, and the class teacher and the head looking at the same child. A pupil who is slipping is visible in week three, not at the end of term.
  • Records: enrolment, guardians, medical notes and fee history in one place, so a new teacher or a new bursar does not start from zero.

What it does not change

Class sizes, textbooks, teacher quality, the syllabus. Be suspicious of anyone who says otherwise. The gain is time and money back into the school, and a parent body that is informed. What the school does with that is up to the school.

Government schools

The same system produces the enrolment and census returns in the formats the ministry asks for, from data the school already keeps, with the ministry reporting add-on.

Which package

An ECD centre is the ECD / Pre-School package ($30 a month); private primary and secondary schools have tiers sized by pupils and message volume, from $70; government schools have their own tiers with the ministry add-on. Setup for a school includes importing the pupil and guardian register and a check that every guardian number is in a format WhatsApp will deliver to. The school demo is open at easybiz.co.zw/demo.
