The term starts, the fee notice goes home in a bag, and then the bursar’s real job begins: working out who has paid, who has paid part, who has paid for the wrong child, and who is going to need a phone call. By mid-term, arrears are a spreadsheet only the bursar understands, and the head is deciding whether to send a child home over a payment that may already have been made.
What the parents experience
A parent gets a WhatsApp message at the start of term: the invoice for their child, the amount, the due date, and how to pay. When they pay, by EcoCash, bank transfer or at the office, they get a receipt on WhatsApp within minutes. If the due date passes, a polite reminder goes out, then another, without anyone in the office having to remember. Parents who pay in instalments see the balance after each one.
Most parents pay sooner when the invoice is in their hand and the receipt is instant. The ones who cannot pay tell you sooner too, because the conversation is already open.
What the office experiences
- Invoices per pupil per term generate from the fee structure; sibling discounts and boarding fees included.
- Payments are matched to the right child, even when Dad pays from his EcoCash and Mum’s number is on file.
- Arrears are a live list, by class, by age of debt, with the last reminder date.
- Bulk WhatsApp to all parents or one class for notices, report card alerts and exam dates, instead of circulars that never make it out of the bag.
- Student records, attendance and report cards in the same place, so the bursar and the class teacher look at the same child.
Government schools
For government schools the same system carries the ministry reporting add-on: enrolment and census returns in the formats asked for, from data the school already keeps.
Which package
An ECD centre is the ECD / Pre-School package ($30); private primaries and secondaries have their own tiers sized by pupil numbers and message volume; government schools have tiers with the ministry add-on. The setup for schools includes importing the pupil and guardian list, and a check that every guardian number is in the right format so the first bulk message actually arrives.
